1. Data Protection Declarations

1.1 Eastleigh College

Eastleigh College is registered under the Data Protection Act 1998. Data collected about students will be used for educational administration, guidance, statistical research and health and safety purposes. Data will be shared with other organisations directly associated with funding, education support and guidance in accordance with our data protection notification. Processing this data will enable the performance of the College to be monitored and for the College to operate effectively and plan future provision.

Please be aware that accepting a place on a College course gives consent for the College to hold and use information about you as stated above. If you do not wish to give this consent, then the College may not be able to offer you a course place and may withdraw any offer already made. If you have any concerns about this, please contact the Data Protection Officer.

1.2 Learning and Skills Council

The information you provide will be passed to the Learning and Skills Council (LSC). The LSC is responsible for funding, planning and encouraging education and training for young people and adults in England, and is registered under the Data Protection Act 1998. The information you provide will be shared with other organisations for the purposes of administration, careers and other guidance, and statistical and research purposes. Other organisations with which we will share the information include the Department for Children, Schools and Families (DCSF), the Department for Innovation, Universities and Skills (DIUS), Connexions, the Higher Education Statistics Agency (HESA), the Higher Education Funding Council for England (HEFCE), educational institutions and organisations performing research and statistical work on behalf of the LSC or its partners. The LSC also administers the learner registration service (LRS) which will use your information to create and maintain a unique learner number (ULN – see below). The LSC is also a co-financing organisation and uses European Social Funds from the European Union to directly or indirectly part-finance learning activities, helping develop employment by promoting employability, business spirit and equal opportunities, and investing in human resources. At no time will your personal information be passed to organisations for marketing or sales purposes. From time to time students are approached to take part in surveys by mail and phone, which are aimed at enabling the LSC and its partners to monitor performance, improve quality and plan future provision.

1.3 Unique Learner Number

The Managing Information Across Partners (MIAP) service is operated by the Learning and Skills Council (LSC) for learners aged 14 years and over. MIAP offers a Learner Registration Service which generates a unique learner number (ULN) against which important information regarding the learner will be securely stored. The personal information includes name, date of birth, address and nationality as well as a lifelong record of the learner’s education and training participation and achievement. As a learner you will be able to access the information held against your ULN via a website and you will also be able to give permission for other organisations (such as prospective employers or the careers service) to view your record. All organisations that will have access to the information you provide are registered under the Data Protection Act 1998. At no time will your personal information be passed to organisations for marketing or sales purposes.

You are not able to opt out of having a ULN created, but you can choose to opt out of sharing participation and achievement data with other organisations. Details of opting-out of data sharing can be found at www.miap.gov.uk. or by telephoning the MIAP helpdesk on 0845 6022589.


2. Access to personal data held in College systems

Under the terms of the Data Protection Act 1998, staff, students and other users of the College have the right of access to personal data relating to themselves that is held by the College in electronic format and/or manual records* forming part of a 'relevant filing system' (*subject to the provisions in the Act governing transitional relief).

The College has a duty of care to maintain the confidentiality of the personal records it holds, and an obligation to release this information only to the persons to whom it relates (or a third party in exceptional circumstances). In addition, the College may hold personal records in different parts of its organisation. Therefore to verify your identity and to assist us in providing the information you require, please complete this form as fully as you can.

Please note that the College reserves the right to charge £10.00 for any request regarding personal data, and may take up to 21 days to provide the information.
